Nationwide, Senior Staff Specialist-University Marketing & Communications 6752BR Marketing and Communications Univ Production Svcs and M&C Finance/Ops Detailed Job Description Position Summary The Marketing & Communications Senior Staff Specialist provides administrative support to the Chief Marketing Officer, two Associate Vice Presidents and two Assistant Vice-Presidents within the Division of Marketing and Communications. Additionally, he/she will work closely with the Executive Director, Creative Services, and others within the division, to coordinate logistics for creative projects. This includes coordination and scheduling of both people and venues, including the University President and/or dignitaries from the Board of Trustees and/or local, state, and national government representatives, as well as M&C vendor partners. The Senior Staff Specialist will work with complex calendar scheduling, discretionary and travel expense reimbursements, and the coordination of the division’s procurement card process. This person will also be responsible for booking travel arrangements for guests of the division. The Senior Staff Specialist is responsible for coordinating operational services for the division, including building facilities, telecom, and IT requests. This person will additionally be accountable for several business processes of the division such as physical inventory, computer cascade coordination, crisis communication assistance, and other key processes. The candidate must be highly organized and self-motivated. The candidate will have excellent customer service skills and thrive in a fast-paced, team-oriented environment. This position reports to the Assistant Vice-President of University Production Services and M&C Finance/Operations within RIT’s Division of Marketing and Communications. Provide administrative support to the Chief Marketing Officer, two (2) Associate Vice-Presidents, and two (2) Assistant Vice Presidents plus generic support for the division as a whole. Duties include calendar support, discretionary and travel expense reimbursements, supply ordering, and travel arrangements for those positions and/or their guest visitors. Coordinate the submission of monthly p-card reconciliations for the division.Apply understanding of data driven segmentation strategies to provide consistent and comprehensive reporting and analysis for each data stream; identify and report on areas of opportunity and improvement and provide data-driven recommendations to brand management and marketing communications teams. Coordinate logistics for creative projects and select events (press conferences, photo shoots, video shoots, etc.). This includes coordinating both venues and people for complex projects that sometimes include dignitaries such as the President, members of the Board of Trustees, local/state/national government officials, and vendor partners. Coordinate building and operational services (such as facilities related requests and issues, key management, telecom, and ITS work orders) for the division. Serve as a representative for building risk management. Accountable for coordination, implementation and compliance of processes related to physical inventory and reporting, computer cascade plans, and University wide crisis communication work. Position also develops and oversees processes related to utilization of on campus parking options, key management, and copier maintenance schedules. Other administrative, operational, and business support as needed. Department/College Description Required Minimum Qualifications Education Associates degree or equivalent experince Experience Five plus years of experience providing outstanding administrative support, preferably in a higher education setting Specialized Skills Ability to maintain confidentiality in a business setting Strong organization and coordination skills Ability to anticipate needs and act without being asked; take the initiative and think strategically Resourcefulness and the ability to adapt to an ever changing environment Must be detail oriented Ability to effectively manage time is essential Exceptional written and verbal communication skills Adept at technology. Proficiency in Word, Excel, PowerPoint, and Outlook. Must be able to work effectively in a fast-paced environment Ability to interact independently, confidently and effectively with all levels of management.
