Waltham,, Associate Director, Undergraduate Admission Marketing and Events Bentley University Job Description Summary This position assists the recruitment and yield of new undergraduate students to the University by planning, executing, and assessing admission events – on-campus, off-campus, and virtual. The associate director of events will work with the director of marketing and events to design and execute annual admission events that assist pivotal moments in the recruitment cycle including inquiry engagement, application generation, and admitted student yield- and that reflect the goals of recruiting a diverse student population. The associate director will oversee project management of events including contracting with outside vendors, representing the events team with the university conference planning division, and organizing staff and faculty participation. Essential Duties The Associate Director serves as lead for the Events Team and reports to the Director of Undergraduate Admission Events and Marketing. Work with director on high level strategy for special admission events (not including daily visits and tours), considering mode, platform, and recruitment cycle goals. Evaluates events using registrant and attendee data, feedback and surveys to make improvements in reaching strategic goals. Actively monitors budget and expenses for events within guidelines provided by the Dean and Director. Engages the community and coordinates participation to assist with achieving event goals. Maintains relationships with external vendors (ie. tent rental, balloons, videography) and manages contracts and outreach. Coordinates staffing assignments, secures student workers, and leads pre-event team meetings. Meets regularly with university conference staff and Sodexho directors to manage all initial planning, room reservations, equipment requests, and room set ups. In charge of scheduling events in Slate (Bentley’s CRM), proofing email triggers, and monitoring registrations. Coordinates with Operations team for execution of nametags, packets, and registration. Works with central marketing team to update signage, invitations, t-shirts, and any branded swag orders. Serves as primary contact on day of events. Other Duties Assist with professional activities needed in the Office of UG Admission, including participation in file review should additional reading staff be needed during busy periods. Provide additional assistance with the visitor experience and special visit programs. Participate in industry forums to continue professional development Minimum Qualifications Bachelor’s Degree required. A minimum of 3-5 years of higher education experience preferred but prior event management experience can serve as a substitute. Skills including organizational and analytical abilities, strong communication, creative thinking, ability to manage multiple tasks and belief in the value of a higher education are expected. Sense of humor and appreciation of the college search process a plus. Ability and sensitivity in dealing with diverse populations Work Environment Typical office environment with extensive sitting and computer work Ability to travel within and outside of campus for meetings and other work related events, travel may occur outside of normal business hours including weekends and nights Ability to carry and lift materials used for various events Bentley University requires references checks and may conduct other pre-employment screening.
