New York, New York, Job Type: Officer of Administration Bargaining Unit: Regular/Temporary: Regular End Date if Temporary: Hours Per Week: 35 Salary Range: Commensurate with experience   Position Summary Columbia Business School is looking for an energetic marketing professional who would be excited to reimagine the way that the School communicates and engages with its 50,000+ global alumni. Reporting to the Director of Alumni Marketing and Communications, the Assistant Director will focus on increasing the engagement footprint, as well as personalizing and segmenting communications based on data analysis. With the goals of cultivating alumni participation in School events and activities by maintaining and improving alumni-centered digital and print assets, the ideal candidate will collectively re-think strategy for and build out alumni-targeted emails and campaigns, and look for ways to provide value with our alumni community/app. Additionally, this position will create targeted audience segments for communications and compile/share performance reports as needed to further develop overall comms strategy. The candidate is expected to stay current with all relevant industry information as it applies to the overall job responsibilities, attend meetings and conferences, as required, and provide event management support as needed. This individual will demonstrate a commitment to improving communication both within the Alumni Relations team and with other teams in Development and Alumni Relations (DAR), the Business School, and the University. Our team works hard, but also provides flexibility in a hybrid work environment. The school is located in upper Manhattan on a brand-new campus (Manhattanville), adjacent to the Columbia University Morningside campus. Responsibilities Work with the Director on MyCBS (digital alumni community) content creation, manage community oversight, training, and reporting, moderate content and help alumni as needed, and facilitate alumni adoption on an on-going basis. Generate innovative ideas to increase engagement on site/app. Set app engagement goal, track, and share results to drive new strategy around unit goals. Collaborate with cross-departmental teams to outline successful communication strategies that serve the goals and priorities of DAR.  Proof, manage, and build sends of urgent and planned messages, including, but not limited to Reunion, dean???s events, class specific surveys, and regional events, maintaining School style guidelines for all. Provide technical assistance to teams who need technical help creating communications themselves within the department. Manage alumni communications and serve as the point person for alumni-targeted communications, including, but not limited to, rankings emails, center and program email requests, and dean???s office/quarterly or need-based acknowledgments. Manage email communication process, including: maintain email communications calendar to protect alumni experience of School communications; coordinate dates with teams across the department and School (when possible); schedule and proof email communications and recipient lists; create HTML for email communications when needed; proactively track and share email analytics; develop quarterly communications reports; and produce/share best practices, procedure guidelines, and templates. Will utilize data management and use excel functions like vlookup proficiently to speed up de-duping process for complicated list management when needed. Work with teams throughout DAR  to optimize images for communications and maintain a high standard of quality. Edit and crop images as needed using Photoshop for use on School websites. Manage and maintain general customer service operations, including the development of template responses to common questions, training colleagues on how to use technology like Campaign Monitor, iContact, and Flickr, and creating step-by-step instructions and how-to guides as needed to empower teammates and institutionalize best practices. Manage the main Alumni Relations general alumni inbox, works with alumni with IDs and passwords, provide quality customer service for myriad miscellaneous questions, and serve as the first level of escalation when non-standard issues come up. Delegate inquiries to the proper unit or individual. Perform related duties and special projects as needed and assigned. Minimum Qualifications Bachelor???s degree and/or its equivalent required. 2-4 years of related experience required. A strong candidate for this position must be a hard-working, motivated team member who is invested in growing with the engagement team and helping to be a collaborative member of a collective vision. Strategic thinking with the ability to work independently to carry out a vision needed. Excellent presentation and written communication skills with a strong attention to detail when editing, proofing, and copywriting print and digital content. Strong interpersonal skills with the ability to interact and communicate effectively with alumni, colleagues, and senior level management. Ability to manage several projects simultaneously with high accuracy in a fast-paced, dynamic environment. Ability to think strategically and apply creative problem-solving skills. Advanced proficiency with the Microsoft Office Suite and intermediate proficiency with the Adobe Creative Suite. Advanced proficiency in CRM preferred. Must be able available to work occasional evenings and some weekends, related to engagement programming. Preferred Qualifications Intermediate knowledge of HTML, Dreamweaver, Illustrator, InDesign, and Photoshop preferred. Experience with campaign monitor a plus.
