Position Summary
We are currently seeking an Administrative Assistant, Marketing and CRM to support the Director, Marketing, External Communications and Business Development and the Marketing team. This position will be based in our New York City office.
The Administrative Assistant, Marketing and CRM will support the team with general administrative duties such as calendaring, meeting logistics, expense reports and and documentation maintenance. The role is also responsible for assisting with daily marketing activities such as content creation and lead generation; as well as maintaining/updating TCC’s Customer Relationship Management (CRM) database.

Duties and Responsibilities
General Administrative Support

Update and maintain the marketing department’s documentation and databases on the firmwide shared drive and drop box – includes creating new and/or updating current document storage system to ensure ease of access to electronic and hard files.
Coordinate and maintain the Director’s calendar and schedule meetings with the management team – includes navigating through calendar multiple calendars, existing or potential meeting conflicts, and sometimes last-minute schedule changes.
Develop and distribute meeting materials to participants (team and cross-team) in a timely fashion – includes drafting and sending agendas, assisting with creating presentations, and coordinating all other meeting logistics.
Take notes and minutes at key meetings, and archiving meeting recordings/transcripts in TCC’s cloud storage system.
Process the Director’s expense reports and timesheets. 
Draft, process and file marketing team vendor contracts and invoices.

Marketing Support

Support the Director and marketing team with marketing activities such as –

Email marketing – assist with the target audience list maintenance.
Coordinating the production of a wide range of marketing communications
PR/Media contact information management.
Updating the marketing project management system.

Work with the Director to prioritize and manage lead generation projects tied to firm growth.  

Customer Relationship Management (CRM) Support

Assist with pipeline development with lead generation projects, establishing new contacts and generating reports, and creating dashboards.
Create, export, and maintain client/contact lists for targeted email marketing campaigns.
Conduct regular audits of TCC’s CRM to clean-up of data, and ensure data is up to date and accurate.
Support the Director with ongoing maintenance of TCC’s CRM – includes troubleshooting issues.
Assist the Director with updating and creating CRM training materials for staff.

Bachelor’s degree in Marketing, Communications or Business OR equivalent combination of education and related field experience.
1 – 2 years administrative experience, with at least 1 year CRM database experience (may include internships).
Excellent verbal and written communication skills – includes editing/copyediting.
Excellent organizational skills – able to prioritize and manage multiple projects, manage time effectively, detail-oriented and deadline sensitive.
Problem-solving orientation – accountable and able to analyze processes tenaciously and methodically, identify problems, and recommend effective solutions and strategies.
Self-starter – able to work efficiently both independently and as part of a team.
Quick learner – comfortable in a fast-paced, outcomes-focused environment.
Intermediate proficiency with Microsoft Office – emphasis on PowerPoint and Excel (pivot tables and VLOOKUP).
Experience using CRM systems (e.g., Salesforce, Zoho, Deltek, Raiser’s Edge, etc.)
Experience with video conferencing tools – setting up and troubleshooting during meetings.


Understanding of marketing lead generation, and digital marketing ecosystem.
Some familiarity with email marketing systems (e.g., Mailchimp, Constant Contact).
Prior experience working in social sector (nonprofit, foundation, etc.) or demonstrated commitment to social change.
